Trac Delivers Real-Time Reporting:

Mike found what he was looking for in Trac Reporting Software, a real-time reporting system unlike any other product on the market. “I can now offer my clients up-to-the-minute information on guard whereabouts, as well as security, parking, and maintenance incidents. It has improved our delivery of services a hundred-fold,” he says.

Managers are empowered by Trac’s real-time data and its convenience. Guard post information and reports, including photographs and audio files, are entered electronically into the system by the guards in the field. Mike points out that the information is available to property managers and board members almost immediately, and they can access it whenever they want—day or night—simply by logging into their Trac account from any computer with Internet access.

“It’s so easy to use,” says Robert Walsh, an Arizona client and property manager for several homeowners’ associations throughout Phoenix and Scottsdale. “All I do is log into Trac from my computer, and I can check where guards have been and review incident or parking reports. Trac Increases Accountability: Recent Case Studies:

Missing Guard:
A board member called a property manager late at night to complain that a guard was not on duty where he was supposed to be. The property manager logged into Trac and used the system’s 'Virtual Tour' feature to track the guard's whereabouts.

The property manager was able to view the guard's position data at the exact time the board member could not find him. It turned out the guard was checking on a suspicious parked vehicle at that time. There was a complete incident report, as well as a time-stamped photograph of the vehicle in the Trac system. The property manager was able to call the board member with this information, and the situation was resolved within minutes.

No Parking Permits:
A manager received a phone message from a resident, complaining that his car had been towed for no reason. The resident said he had a parking permit and was very upset at being towed.

The manager was able to immediately log into Trac and view the parking incident report. It included a photograph taken by a guard that showed the vehicle had no visible permit. Case closed.

Noisy Neighbors:
A guard received a complaint of a noisy unit from a resident in a neighboring unit. The guard responded by going to the unit and first making an audio recording of the noise. The guard then completed his report and uploaded the audio file. The manager logged into Trac and reviewed the complete report, including the audio file. When the manager followed up with the resident, the resident denied making noise. The manager was able to play the audio file and subsequently issue a warning.

Easy to Use:

A major advantage that Trac has over other reporting systems is that it is easy to use. The software interface allows guards to enter report data quickly and accurately, while providing that data to managers, board members, and guard supervisors in just a few clicks.

“It had to be easy to access and easy to use because managers and board members are busy people who don’t want to waste time,” says Mike.
